Bbeyond Photography and Documentation Policy
This policy governs all photography and videography activities associated with Bbeyond. It applies to all Bbeyond members, non-member participants, and any third parties engaging with Bbeyond through festivals or events. By participating in or collaborating with Bbeyond, individuals and organisations accept the terms and conditions outlined below.
1. Commissioned Photographer
Bbeyond will make every effort to commission a photographer or videographer for all hosted events. The resulting images and footage will remain the property of Bbeyond, which retains the right to publish, print, and sell them. Appropriate credit will be given to both the photographer and any individuals featured in the documentation.
If a third party commissions their own photographer for an event, those images must be shared with Bbeyond within 30 days of the event. Bbeyond reserves the right to publish these images, ensuring credit is given to the photographer and featured individuals.
2. Contract with Photographer
Details regarding contractual arrangements with photographers are provided in Appendix 1, available on request.
3. Storing of Documentation
All documentation will be stored digitally by Bbeyond on an external hard drive. Each file will be clearly labelled and dated, with the names of relevant individuals and organisations recorded for reference..

4. Access and Rights
Artists and participants involved in Bbeyond events may request copies of images, provided that Bbeyond, the photographer, and other participants are credited in any subsequent publication. Requests will be processed within 60 days. Artists are permitted to print and exhibit these images; however, any sales must be negotiated with Bbeyond prior to publication.
By attending Bbeyond events or commissioning Bbeyond, individuals and organisations agree to adhere to this policy. The policy will be published on the Bbeyond website and circulated among members, collaborators, and commissioners. It will be reviewed every three years to ensure ongoing relevance and compliance..
